This policy explains how ZADKEY handles your institution's data and that of its users (staff, teachers, students, and guardians) when using the platform.
1. Data we collect
Account data (name, email, phone number); data the institution enters about its students and staff (such as name, grades, attendance, and fees); and basic technical usage data (such as login records) for security and troubleshooting purposes.
2. How we use the data
Data is used exclusively to operate the service for the institution it belongs to: rendering dashboards, computing grades, attendance and fees, and sending notifications relevant to that institution. An institution's data is never used for marketing or analytics purposes outside that institution without explicit consent.
3. Isolation between institutions
Restrictions are enforced at the database level itself (not only in the user interface) that prevent any user from accessing another institution's data, regardless of their permissions within the system.
4. Sharing data with other parties
The platform relies on infrastructure providers (database hosting and file storage) solely to operate the service, and these providers do not use the data for their own purposes. No institution's data is sold or shared with external marketing parties.
5. Data security
Data is transmitted over an encrypted connection, and strict access restrictions are enforced at the database level as described above. No system is entirely risk-free, and we continue improving these measures both before and after official launch.
6. Data retention and deletion
The details of how long data is retained after an institution's account is closed, and the mechanism for exporting its data before leaving, **are still being finalized** and will be published in full before public launch.
7. Rights of guardians and students
Student and guardian data is entered and managed by the educational institution's staff, who are the party responsible to them for its accuracy and for any request to correct or delete it. ZADKEY commits to providing the technical tools the institution needs to respond to such requests.
8. Cookies
Only essential cookies are used, to maintain your login session and language preference — not for advertising tracking.
9. Changes to this policy
This policy may be updated from time to time, especially during this early stage. The "last updated" date at the top of the page will reflect this.
